1. Who We Are
Fleetera is an asset performance management platform for industrial and renewable-energy fleets, based in Switzerland. This policy explains what information we collect when you visit our website (fleetera.ai) or use the Fleetera platform, why we collect it, where it is processed, and the rights you have over it.
The controller for the personal data described in this policy is Fleetera, based in Switzerland. For anything in this policy, including our registered company details, contact privacy@fleetera.ai.
2. Information We Collect
Account data
When our team provisions an account for you or your organization, we hold your name, work email address, organization, and role in the platform. During early access there is no self-service sign-up; accounts are created by our team on request.
Contact and sales inquiries
When you submit a contact, demo, or early-access request form, we collect your name, work email address, company, and message so we can respond.
Customer telemetry and configuration
Customers connect their own equipment to the platform through edge gateways. The resulting data belongs to the customer: equipment telemetry, asset models, KPI definitions and results, alert events, and platform activity logs. We process it only to provide the service. Where such data contains personal data, the customer is the controller and we act as a processor on their instructions.
Website analytics
With your consent, we measure aggregate website usage (pages visited, referral source) with Google Analytics. It runs only after you accept analytics in the cookie banner. If you reject it, or simply ignore the banner, no analytics loads and no analytics cookies are set. You can change your choice at any time via Cookie settings in the footer.
Technical logs
Like most services, our servers record standard technical logs (such as IP address and browser type) for security monitoring and troubleshooting.
3. How We Use Information
- Provide, operate, and support the platform
- Respond to contact, demo, and early-access requests
- Send service email: account invitations, password resets, and the alert or report notifications your organization configures
- Keep the service secure: authentication, activity logs, abuse prevention
- Comply with legal obligations
We do not sell personal data, we do not use it for advertising, and we do not make automated decisions with legal effect about you.
4. Where Data Is Processed
We host and process customer data in the European Union. Our infrastructure runs in Hetzner data centers in Germany and Finland and in AWS EU regions. Telemetry travels from edge gateways at customer sites to our cloud over a private, WireGuard-based VPN; it is not exposed to the public internet. Cloudflare provides DNS and content delivery for public web traffic.
Two exceptions: contact and sales inquiries are managed in HubSpot, and website analytics, only if you opt in via the cookie banner, is provided by Google Analytics. Both may process data outside Switzerland and the EEA. For any transfer out of Switzerland or the EEA, we rely on safeguards recognized under the Swiss FADP and the GDPR, such as the standard contractual clauses included in these processors' data processing terms.
5. Processors We Use
- Hetzner: cloud infrastructure (data centers in Germany and Finland)
- Amazon Web Services (EU regions): transactional email delivery and secrets management
- Cloudflare: DNS and content delivery for public web traffic
- HubSpot: contact and sales inquiry management
- Google Analytics: website usage analytics, and only after you opt in via the cookie banner
This is the complete list. We do not use advertising pixels or third-party font services. Fonts are built into the site and served from our own infrastructure.
6. Cookies
Our website sets no cookies until you make a choice in the cookie banner. Where analytics is not offered, the banner does not appear and the site stays entirely cookieless. If you accept analytics, we set one first-party cookie (fleetera-consent, kept for six months) to remember your choice, and Google Analytics sets its own cookies (the _ga family) to distinguish visitors. If you reject, we set only the consent cookie so the banner does not return; ignoring the banner sets nothing at all. You can change your choice at any time via Cookie settings in the footer. The Fleetera platform sets strictly necessary cookies only, used to keep you signed in. We set no marketing or advertising cookies.
7. Data Retention and Export
- Customer telemetry and configuration data is retained for as long as we provide the service to the customer, as agreed with them. Changing plans does not delete it. Customers can export their telemetry and configuration data in CSV or JSON formats at any time.
- Account data is kept for the life of the account and removed after closure, except where the law requires us to keep it longer.
- Contact and sales inquiry data is kept until you ask us to delete it.
- Website analytics runs only with your consent and is used in aggregate. You can withdraw consent at any time via Cookie settings in the footer, which also removes the analytics cookies from your browser.
8. Security
- Encryption in transit (TLS) for all traffic
- A private VPN between edge gateways and the cloud, with no public exposure
- Per-tenant data isolation
- Access controls and activity logging
No system is perfectly secure. If we learn of a breach affecting your personal data, we will notify affected customers and the competent authorities as required by law.
9. Your Rights
Under the Swiss Federal Act on Data Protection (FADP) and, for people in the EEA, the GDPR, you can ask us to:
- Access the personal data we hold about you
- Correct it if it is wrong
- Delete it
- Hand it over in a portable format
- Stop or restrict certain processing, including any based on consent
Write to privacy@fleetera.ai and we will respond. You can also complain to the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, in the EEA, to your local supervisory authority. If your personal data sits inside a customer's telemetry, address your request to that customer, who is the controller, and we will assist them.
10. Children's Privacy
Our services are aimed at businesses and are not directed to individuals under 16. We do not knowingly collect data from children.
11. Changes to This Policy
When this policy changes, we update it here with a new date. We notify account holders by email of material changes and of any change to the processor list in section 5.
